Installing Easymonitor 4

Introduction

EasyMonitor 4 differs from EasyMonitor version 3 in that the clients do not query the clinical database directly. Instead they do it via a server application which is normally installed on the clinical server.

This arrangement reduces network traffic, prevents simultaneous queries and allows “rationing of data requests”

The Easymonitor 4 server application is a modified version of the original EasyMonitor 3 application.

The Client applications are small applications that communicate with the server application via TCP/IP , sending data requests and displaying the replies sent back from the server

Installation of EasyMonitor 4 is a three-stage process.

  1. Installation of server installation files and creation of database on clinical server
  2. Installation of EasyMonitor 4 server (normally on Clinical server)
  3. Installation of Client application on individual client PCs

Download and run the installation file from www.gp-it.co.uk/updates/EasyMonitor/EasyMonitor4Setup.exe

It is important that the EasyMonitor database is created on the clinical server (or any other PC that has Interbase installed)

All other files can be installed on any PC although it is recommended that you use the clinical server.

Click OK

Click Next

Click Next

You can select a different location to install the EasyMonitor files. It is recommended that you use the default offered

Click Next

Click Next If this is the first time that you are installing EasyMonitor 4 you will see the following prompt

You will need to enter your SYSDBA password into the box and click OK

This allows interbase to create a blank EasyMonitor 4 database and populate it with data. If you do not know your SYSDBA password, the installation will fail.

If the password is correct then you should see the following progress bar which will count through the SQL statements until it is complete

The installation will now try to create a shared network folder on the server to allow you to install the client files over the network. If you see the following error:

This means that a share has already been created by an earlier installation. This usually occurs during re-installations and can be safely ignored

You will now be prompted if you wish to install the EasyMonitor 4 Sever application

If you click Yes the installation will proceed to install the Server application on this PC. It is strongly recommended that you accept this option. However it is possible to install the server application on any other PC on the network if you prefer (see instructions at end of this document)

Installation of Server application

The server application is normally installed on the clinical server. After the installation starts the following screen will show:

It is recommended that you select Yes

Click Yes

The Easymonitor server will now open. It is vital that the EasyMonitor server is running correctly with no errors before you try to install and run the client so please follow the next section carefully as there are a number of things that need to be set up correctly

Setting up the Server

When the server is first run the following need to be set up

  1. Activation of server
  2. Setting username and password
  3. Setting schedule

Clicking the evaluate button will allow 30 days usage of the server after which an activation code will need to be entered.

You can use the same activation code that was used to activate EasyMonitor version 3. If you have lost your code, please contact support@gp-it.co.uk

If no button is clicked, the program will default to evaluate mode after 60 seconds. This is necessary to ensure that it runs unattended after a scheduled restart.

The following login prompt will appear.

You can enter any Username / Password combination that is valid for Premiere Login. However, it is recommended that you use the SYSDBA password as it will normally not change as frequently as individual users.

You will now be asked whether you wish to set up a schedule for EasyMonitor4 Server.

The server application will normally be running unattended. The reason for scheduling it is to close the program down at times that the surgery is normally closed and reopen it before the working day starts. This allows database operations such as backup to proceed without interfering with the EM4Server.

The EM4Server itself will not interfere with any database operations and will shut down automatically if, for example, the Interbase service is stopped. Normal iSoft backup will stop the interbase service so the scheduling will restart it in a controlled way

If you click OK you will see the following dialog:

This allows you to set up the time that the EasyMonitor4 Server will start and stop. The default is as shown above. When you have set the values as desired you must enter the Windows User Name and Password. This is the password that you use to log into Windows on the server after a reboot (NOT the Interbase or Premiere password).

Clicking OK will now set up the schedule using the Windows Scheduling application.

The Windows scheduler is used to start EasyMonitor Server but the application is closed by itself at the appropriate time (or after the interbase service stops)

If you wish to change the schedule settings, you can access this dialog when the server application

is running using the

icon

You can also change or check the startup settings (but not the closedown settings) using the Windows scheduling application

After the scheduling window closes, if all is well, the server application will run and an icon will appear in the system tray at the bottom right corner of the screen. The icon for the server is differentiated from the client application by the red colouration.

If you R-click this icon, the EasyMonitor 4 server application will open.

EasyMonitor 3 users will see that this is very similar to the previous EasyMonitor 3 client. The schedule is shown along the bottom of the window

IMPORTANT

If the server application is not running or you get an error when trying to run it, the client application will not work

It is therefore very important that you get the server application running properly BEFORE installing the clients

The most likely cause of any problems at this stage is an incorrect password being entered into the Interbase Login dialog (see previous instruction)

If this is the case you will get the following dialog:

This allows you to enter a new password. If the password was not the cause of the problem, you should Email support@gp-it.co.uk for advice.

Installing the Client Application on individual PCs

When the server application has been installed and is running you can install the clients on individual PCs

This is a very simple process and requires no setting up or passwords. Also licence activation is now carried out on the server application so individual clients do not need to be licenced (unlike EasyMonitor 3)

To install the client on each PC, you need to run the installation script over the network. Do the following on each Client workstation

  1. Click the Start button (bottom Left had corner of screen)
  2. Click Run…
  3. Enter the name of the server on which you installed the server files preceded by a double backslash eg \\clinical or \\NT4PSBS
  4. Click OK
  5. This will open a viewer to the shared folders on the server. (there are likely to be more shared folders on your server than are shown below
  6. Double-Click the shared folder called EASYMONITOR4
  7. Double-Click theEasyMonitor4Clientsetup program

The client installation will then run.

  1. When it has finished, you will be asked if you wish to run the client. Click Yes The client should run and show the Client prompt bar along the top of the screen
  2. If you see the following error

This means that the server application is probably not running. Click OK and the following window will open:

If the server is actually running OK then you will need to contact support@gp-it for advice

Using EasyMonitor 4 Client

By default, the client prompt bar is attached to the top of the screen. However it can be dragged to the bottom of the screen or into the middle of the screen area. In the latter case it will appear as below. The position of the prompt bar is remembered when the program is closed and reopened.

The client application monitors Premiere and if a new patient is selected it requests data from the server. The server will normally respond within a few seconds with the data. However, if there are a large number of users logged in the delay may be longer as the server application will only process one request at any time and will queue requests. In practice however the delay is rarely more than a few seconds

Items showing with a ‘+’ in front of them can be double clicked to show extended information:

Certain lines with Read Codes can be highlighted by clicking them and the Post button will become available as shown above. Clicking the Post button will insert the Readcode into Premiere.

Note - EasyMonitor version 3 required Macro Express to be installed in order to post results. This is not required with EasyMonitor 4

What do the Icons Mean?

This hides the bar. I twill re-appear when there is new data available

This allows you to print the current prompt or add to a queue to be printed as a batch later (Useful for residential home visits)

Refresh data from server.
This forces a re-read of data for the current patient. Unlike some other pop-up utilities,
EasyMonitor works with real-time data and will reflect the current state for the patient. You
can therefore re-check the status after adding data to Premiere
 

However in order to minimise un-necessary data queries, EasyMonitor keeps a copy of all
results returned for the previous 30 patients. If data is re-requested for that patient, the
cached data will be shown. You can force a re-read of the database and clear the cached
data for the current patient using the refresh button
 

This shows items “blacklisted”. By default, disease register prompts are blacklisted and will
not show. The show blacklisted button will display these prompts
 

The behaviour of blacklists is set up by Right Clicking over the Prompt Bar and selecting “Show Prompts Blacklist”

Client Problems

The client should work reliably without any problems. If the server application closes, the client should close itself down However there are occasions when it may not close (eg if network connection to the server is lost) In such circumstances, simply closing and restarting the client application should restore normal functioning.
